Who is responsible?
Oliver Coburn, trading as Ollie Coburn Running Rehab, is the controller of the personal information used to manage this business’s enquiries and newsletter. This is an independent sole trader business. Contact oliver.j.coburn@gmail.com about your information or to exercise your rights.
When you contact me
If you email me or submit the enquiry form, I receive your contact details and anything you choose to include. The form asks for your first and last name, email address, mobile number and a brief description of what you need help with. You can include the duration and your running goal in that description. I use this to read your enquiry, reply, discuss suitability and arrange any next step you request. Providing information is voluntary, but all enquiry form fields are required to give me enough information to consider your enquiry. You can alternatively contact me by email.
The lawful basis is taking steps at your request before entering into a service contract (UK GDPR Article 6(1)(b)), or my legitimate interest in responding to general correspondence (Article 6(1)(f)). For health information submitted through this form, I ask for explicit consent under Article 9(2)(a). You can withdraw it by emailing me; withdrawal does not affect earlier lawful processing and may affect my ability to consider the enquiry. Where relevant health information is necessary for clinical rehabilitation, the healthcare condition under Article 9(2)(h) may apply, subject to professional confidentiality obligations and the clinical privacy information provided at intake. Please do not send detailed medical records in an initial email. Clinical assessment and records require a separate clinical intake and privacy explanation.
Enquiries are read personally. There is no solely automated decision about suitability, and contacting me does not subscribe you to marketing.
Enquiry form handling
The enquiry form sends your contact details and message, including any health information you choose to share, to Brevo so I can manage and respond to your enquiry. These details are stored in the Brevo contact database and may be included in an email notification to me. Any resulting correspondence is also held in my email inbox under the retention arrangements below. Enquiry details are used to consider your request and follow up personally, not as consent to receive Runner’s Notes marketing emails.

Runner’s Notes newsletter
When you sign up, your email address and subscription information are sent to Brevo to manage the mailing list and send occasional Runner’s Notes emails, including relevant news about guides and services. The lawful basis is your consent (Article 6(1)(a)). Brevo also processes technical delivery information, such as timestamps and delivery or bounce status, to operate the service.
You can withdraw consent at any time using the unsubscribe link in an email or by contacting me. Withdrawal does not affect earlier lawful processing. A minimal suppression record may be kept to respect your unsubscribe request. Newsletter signup does not enrol you in a rehabilitation service.
Website operation and cookies
The site is hosted using OpenAI Sites and its infrastructure providers. Hosting services process technical information such as IP addresses, browser details, requested pages and security logs to deliver and protect the website. The business’s interest in a functioning, secure website is the relevant legitimate interest. Hosting services may also process information for their own purposes under their privacy notices.
The website code does not add advertising pixels or a separate analytics cookie service. Enquiry and newsletter forms load Brevo resources, and the running photograph is served by Unsplash. These providers receive the connection information needed to deliver their content. Hosting or security features may use necessary cookies or similar technologies. Any optional tracking added by the business will require an appropriate notice and, where required, a choice before it is enabled.
Who receives information?
I use Brevo to collect website enquiries and manage newsletter subscriptions and delivery, Google’s Gmail service for enquiry correspondence, and OpenAI Sites and its infrastructure providers for hosting. They process information needed to provide their respective services. Access may also be given to professional advisers or authorities when required for legal, insurance or regulatory obligations. Personal information is not sold.
Guide purchases take place on Payhip through the linked product page. This website does not collect or process card details. Please review the purchase information and privacy notices provided by Payhip and its payment providers before completing your purchase.
International processing
These providers operate internationally and may process information outside the UK. Their privacy notices explain processing locations and transfer arrangements, including relevant adequacy decisions and contractual safeguards. For details, see Google’s privacy policy, Brevo’s privacy policy and OpenAI’s privacy policy. You can contact me for information about safeguards relevant to your data.
How long information is kept
Enquiry information in Brevo and email correspondence is kept for as long as needed to answer the enquiry and manage the resulting conversation, taking account of whether a service follows, any unresolved complaint and applicable legal or professional record-keeping duties. Information that is no longer needed is deleted. Where an enquiry leads to clinical care, the clinical record retention arrangements will be explained separately.
Newsletter contact information is kept while you remain subscribed. After withdrawal, only information needed to record consent history, handle any outstanding issue and prevent further unwanted emails is retained. Provider security and operational logs are retained under their own schedules. You can ask about the retention of your particular information.
Your rights
Depending on the circumstances, you may request access to your information, correction, erasure, restriction of processing or a portable copy. These rights have conditions and exceptions, for example where records must be retained for legal reasons.
You have the right to object to processing based on legitimate interests, and an absolute right to object to direct marketing. Email me to exercise a right. I may need to confirm your identity; requests are normally answered within one month, with any lawful extension explained.
If you are unhappy with how your information is handled, please contact me. You can also complain to the Information Commissioner’s Office, the UK data protection regulator, on 0303 123 1113.
Changes to this notice
This notice will be updated when the way information is collected or used changes, including when checkout or clinical service workflows change. The date above shows the latest update.
